Instructions: opt customers out of Digital Mailroom Service
BACKGROUND Customers can request to opt-out from receiving their Registered Office/Service Address mail by our Digital Mailroom Service (i.e. scanned and emailed to them) by emailing us this request. Once opted out, their Registered Office/Service Address mail will be forwarded to them by unopened hardcopy via Royal Mail second class post. If a Registered Office/Service Address service on eFiling states the word (Post) after it, this means this address service has been opted out of the Digital Mailroom service and the customer is receiving mail for this address service by hardcopy unopened post only. INSTRUCTIONS Obtain an email from the customer requesting that they wish for their Registered Office/Service Address service(s) to be opted out of the Digital Mailroom service. This should be from the email account we have on file for the customer, to pass security procedures. Go to the relevant customer profile on efiling. Note down the names of all companies the customer has which contain active Registered Office/Service Address services. Click on the first relevant company with active Registered Office/Service Address services and click ‘Services’ in the menu near the top. Note down the following Registered Office/Service Address details: Name of service If Service Address, the name of the officer attached to the service Expiry date of service Forwarding address for service Select ‘Create New Service’ and choose either ‘Registered Office – London (Post)’ or ‘Service Address – London (Post)’ or if based in Glasgow – ‘Glasgow Registered Office (Post)’ or Glasgow Service Address (Post)’, where applicable. Select the correct forwarding address from the drop-down list, by referring to your notes compiled in point 5.d. Enter the correct renewal date by referring to your notes compiled in point 5.c, then select ‘Create Service’ and then select ‘OK’ to confirm. Go back to the Services screen and click the red cancel adjacent to the ‘View’ button, on the old ‘Registered Office/Service Address’ service. Repeat for all relevant services and companies with need to be opted out of our Digital Mailroom Service. Once all address services have been changed over to the (Post) services, inform the customer that they have now been opted out of the Digital Mailroom Service and will therefore receive their Registered Office/Service Address mail via unopened hardcopy post.
