Processing address service / additional service order on behalf of a client via manual invoice
Establish what service the customer requires and what the final cost of this service will be (may be a discounted cost). Price guideline is detailed at the bottom of this document for reference. Select the company name on eFiling. (Please make sure you select the company name to raise the invoice, not the customer name). Under the ‘Quick Tasks’ box on the right-hand side, select ‘Raise Invoice’. ‘Description’ please manually type the service being purchased (i.e. business address – 50% off) (do not select the service from the drop down box). ‘Unit Price’ please enter the amount as a positive figure excluding VAT. If you need more lines for items for the invoice click the option “add another line”. Be aware that in the section of the invoice “Email invoice to customer using “INVOICE_ATTACHED” trigger means that the customer will receive the invoice by e-mail. If the customer has given you a specific e-mail address for you to send it to, please ensure it is sent to this address by checking the billing e-mail address in the customer information section of the website. Select ‘Raise Invoice’. Under the ‘Quick Tasks’ Box on the right-hand side, select ‘Log Transaction’. You should select the ‘Payment’ option. You should insert the ‘Amount’ of the transaction in the Amount field. ‘Description’ Please insert the service being purchased (i.e. Business address – 50% off). ‘Type’ select the card we have on file for the customer Following the above procedure will ensure payment is taken successfully from the customer’s card on our system. The system will try to process the card and if it is accepted, there will be a small cream banner which says “payment successfully logged” or if the payment is unsuccessful then you will see a red warning line to say that Continuous Authority has failed and the customer needs to be contacted which you should then proceed to do. Setting up the Service after payment has been taken Select the company name on E-Filing. Under the ‘Quick Tasks’ Box on the right hand side, select ‘Setup Service’ On the box beside the word ‘Service’ click the dropdown box where you will be able to select the service you require. (E.g. London Business Address). If you are setting up an address service, you are required to insert the forwarding address in this section. (Please check what forwarding address the customer would like to use). ‘Terms of Service’ – Ensure the agreed renewal date is correct and then select ‘Create Service’. You can then check the service has been setup correctly on the company’s overview page. Why is PayPal not a payment option? Unfortunately, we do not support PayPal as a payment method for our packages, products and services. Firstly we have a facility to accept credit and debit cards via our merchant account provided by Secure Trading, and we accept a wide selection of cards to suit most people: Visa, Visa Debit, Visa Purchasing, Visa Electron, V Pay, MasterCard Credit, MasterCard Debit, and Maestro. We do not support PayPal as a payment solution, as from experience we have always found it not to be 100% reliable and free from interruption, which is what we expect from a payment provider. Title: Why we ask customers to pay first Historically, when payment was not taken in advance of customers entering their new company details, our system became jammed up with many incomplete orders. When customers are asked to pay in advance of entering their new company details, we find they finish the process themselves or contact us to ask for assistance before successfully completing the online application, and getting their new company incorporated – which is what they intended in the first place! Can I upgrade my package? I am very sorry; our system does not have package upgrade products available. It is not technically possible to upgrade or adjust a package after the company formation has taken place, however, I am pleased to inform you that I am able to offer you a X% discount on any additional service, available in a higher priced package, to the one you purchased.
