Repeat customers – assisting ‘Trusted employees’
BACKGROUND Some of our repeat customers have employees which manage the companies on our system via our company portals. Account Managers of repeat customers now have authorisation to obtain information pertaining to ‘Trusted employee’ names. These ‘Trusted employee’ names should be sent by email from the primary or username email address we have on file for the repeat customer to the relevant account manager. The repeat customer should be informed that ‘Trusted employees’ will be asked to pass security prior to information being released to them, or changes made following requests from ‘Trusted employees’. The account manager will also place on a note on the customer overview notes section of eFiling, listing ‘Trusted employee – [Insert name]’. PROCESS Should someone purporting to be a ‘Trusted employee’ call in attempting to obtain information: Check the customer overview notes section of eFiling for ‘Trusted employee’ names Ask the person their full name Go through normal data security questions with the person If these three steps are successful, you can assist the Trusted employee, as this will comply with GDPR.
