Phone calls for Senior Management

BACKGROUND Members of the public or marketing calls will generally call the general business phone number because Senior Management do not have a current relationship with that person – otherwise they would already have a more direct means of contacting us. Do not attempt to pass the call directly to either Graeme or John. Instead, follow the below instructions. INSTRUCTIONS When you receive a call asking to speak to Graeme Donnelly or John Carpenter, answer along the lines of the following: “Unfortunately [Graeme/John] is in a meeting at the moment. May I take a message which I can pass on to [Graeme/John] for you? Once they come out of the meeting they will be able to read the message and respond accordingly, if required.” You should note down the following information from the caller First name and surname of caller Company name (if relevant) Contact telephone number Nature of call Send the email template to Graeme or John
